Registering Learners into eLearnings



Purpose: To outline the process for SumTotal managers to register staff into eLearnings.


** If you are not a Manager and need these permissions, please submit a ticket to the Academy Help Center with your role, county name, and that you need to enroll learners into the Academy LMS


  1. Log In to SumTotal

  2. Click on the Course Catalog

  3. Locate the Activity you would like to enroll learners into

  4. Above the red Register button, there are three dots in a vertical line

  5. Click on the three dots

  6. Select Register Others from the drop down




  1. A Batch Registration page will appear, confirm the activity name, and select Continue

  2. On the next page, scroll down to the Select Users > Available Users section and click Add

  1. Once you click Add, a pop up will appear and let you choose how to Select your Learners

    1. Recommended Options are Select Viewable Users or Select Users by email, user number, username, or NT account (separated by commas or semicolons)

    2. Select Viewable Users will show all users in your County and you select from the list who you will be registering

    3. Select Users by email… will allow you to list out email addresses and the system will search for their profiles (by adding a comma or semicolon after their email address) and have you select the appropriate accounts.

  2. Once your learners have been selected, Click OK

    1. If the learners are not showing in the selection, they may be already Registered for the Activity

  3. The learners will appear in the Available Users List

    1. If there are any Warning Symbols next to the names, you can click on it to see what the warning is. These will not prohibit enrollments.

      1. Likely that the Learner has already taken the activity

  4. Click Select All next to the Add button

  5. Click on the blue arrow pointing to the Registration list to move the learners from the Available list to the Registration list

  6. Click Submit at the bottom of the screen to complete the registration
